Climate Solutions is seeking an organized, detail-oriented, relationship builder for our exciting new Administrative Coordinator position. This position will have varied duties and be an integral part of the organization providing the support needed to meet our mission and goals.

The position is a full-time, non-exempt position located in Seattle with quarterly trips to Portland and occasional trips to Olympia. Hours are regular business hours with occasional evenings, weekends, and overtime.
The position is supervised by the Operations Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Board Support
- Develop and maintain excellent relationships with the members of the Board, particularly the Board President and Executive Committee.
- Assist the Board in scheduling committee meetings and events.
- Work with the Executive Director and Board leadership on Board communications, including the Board SharePoint site, SurveyMonkey, document editing, and other tasks.
- Take notes at Board and Board committee meetings.
- Set up and coordinate logistics for in-person board meetings, including location, technology, food, and handouts.
- Triage Board requests.
Program Support
- Maintain excellent relationships with Program Directors and all other staff.
- Provide scheduling assistance for coalition and other external meetings.
- Provide occasional logistical assistance for larger or more formal in-person meetings.
- Occasionally take notes at coalition or other meetings if your schedule allows.
- Work with the IT manager on file cleanup.
- Manage and document contract signature process.
Executive Support
- Provide scheduling assistance for external meetings.
- Coordinate logistics for meetings as requested.
- Edit documents as requested.
- Maintain Salesforce records with new contacts and meeting notes per requirements of the database team.
Facilities and Office Management
- Act as liaison with property management in Seattle and Portland for maintenance and other concerns.
- Coordinate office and furniture set up as needed.
- Purchase and maintain office supplies for both offices and remote workers.
- Pick up and distribute mail in the Seattle Office and log checks.
- Ensure that all staff keep office spaces neat, welcoming, and presentable for staff and visitors.
- Collaborate on problem-solving office space issues as more staff come back to the offices.
Human Resources
- Edit and review HR documents.
- Assist with document storage and filing.
- Assist on hiring processes, including job postings, resume and writing sample redaction, interview scheduling, and candidate communication.
- Assist during open enrollment and other HR-heavy times.
- Maintain appropriate confidentiality.
Organizational Support
- Participate in Climate Solutions staff meetings, trainings, racial equity conversations, and team meetings. Lead or coordinate meetings when appropriate.
- Incorporate Climate Solutions’ Equity, Diversity and Inclusion commitments, Commitment to Leading our Work with a Racial Equity Lens, and Climate Solutions’ values into all aspects of the job.
- Meet staff reporting deadlines for program, development, and administrative tasks.
- Additional duties may be assigned within the course of the work.

- Operate desktop computer and Microsoft Windows and Office Software, including Word, Excel, Outlook, PowerPoint, and specialized software applications in a network environment.
Experience:
- 2 or more years as an office manager, executive assistant, or other similar positions.
- Experience working successfully with various work styles and personalities.
- Experience working with confidential information.
- Non-profit Board experience preferred, but not required.
REMUNERATION
This is an hourly position being offered between $33.65-$35.58 depending on relevant experience.
